Terms & Conditions
Booking and re-booking procedure
- Lessons must be paid for in advance.
- Lessons are booked in half term blocks.
- Re-booking is confirmed by making payment of the new term fee prior to the first lesson of the new term.
- Booking priority is given to customers already in lessons with us.
- If you wish to cancel the booking, we request at least 14 days notice is given before the current term block ends, in order that we may offer the place to another swimmer. Upon giving notice any arrears on account will become payable immediately.
- There are 6 terms in the academic year from September to July inclusive. Should you leave / choose not to attend during a term no refund will be given.
- All swimmers in children’s lessons will be given a trial lesson. Should the place then be accepted the full term fee (including the trial lesson) will be payable before the next lesson. If the place is not taken up, there will be no charge for the trial lesson.
- All swimmers joining adult lessons will be invoiced the full term fee, with payment due before the first lesson.
Missed lessons, refunds, late payment
- Payment is required in advance & in full for term periods, regardless of subsequent actual attendance.
- However if 3 or more consecutive lessons are / will be missed due to serious illness, medical condition or injury (substantiated by physical evidence or a medical note) then the lesson place will be held and any pre-paid lesson credits will be carried forward.
- If you wish to take a break from lessons, please inform us in advance. If you continue to pay fees, we will hold the place until the swimmer returns. If you chose not to pay fees the lesson slot will not be held, you will be placed on the waiting list, however we can neither guarantee general availability nor the same slot upon return.
- Refunds will only be given in exceptional circumstances entirely at the discretion of the Best Stroke Management Team.
- Should we not receive payment promptly a reminder will be issued. If payment remains outstanding we reserve the right to terminate the swimmer’s place.
Health and Safety
- Parents / family members / carers are responsible for their children, including their behaviour and that of related siblings, whilst attending lessons, in the pool room, in the changing rooms and on the School premises.
- Children must be accompanied by a responsible adult (parent, family member, or carer) and supervised at all times other than whilst participating in a scheduled swimming lesson.
- Parent, family member, or carer attending sessions must remain within the pool complex for the duration of the swimming lesson.
- All medical conditions or special needs must be brought to the attention of our staff prior to your child commencing a course of lessons with us. Please remember to advise of any subsequent change in your child’s medical condition or special needs.
- Any medication required during the lesson (e.g. inhaler) should be in the possession of the child’s parent, family member, carer at the side of the pool during the lesson. If the medication is needed it must be administered by the parent, family member, carer.
- Please report all accidents / incidents to a member of staff immediately.
- All jewellery must be removed prior to entering the pool and long hair tied up.
Pool rules
- A copy of the pool rules is available at each venue.
- Outdoor footwear must not be worn on pool-side at any time (footwear that has been worn outside).
- Swim caps are advisable, hair should be tied back.
- The pool facilities & equipment provided should be respected & kept clean & in good order.
- We ask that parents, family members, carers & swimmers leave the facilities clean & tidy.
- Please report any issues, damage or danger relating to maintenance or cleanliness to a member of our staff immediately.
- All swimmers, parents, family members, carers when walking around the pool should keep well away from the pool edge. It is advisable that parents, family members, carers hold the hand of younger children whilst walking around the pool.
Arrival at the pool
- It is preferable if pupils arrive at the pool ‘beach ready’, i.e. swimming costume under outdoor clothing.
- Pupils should arrive in time for the start of their lesson.
- Pupils must sit & wait with parent, family member, carer so as not to disturb lessons already in progress, and await their teacher’s instruction to enter the pool.
- In preparation for the lesson we request parent/carers assist younger children to put on arm discs.
- For health and safety reasons children and siblings must not enter the poolside, or approach the edge of the pool unless supervised by their teacher.
- Any questions or queries must be sent by email to ensure that teachers are allowed to concentrate on their pupils without distractions.
Swimming Development & Achievement Awards
- Swimmer progress is monitored within Swim England Learn to Swim Programme.
- Records can be accessed online via a password protected customer account.
- A Swim England progress card will be provided free of charge.
- Swim England Achievement Awards (certificate, cloth badge and/or sticker for progress card), when passed, will be provided free of charge.
Lesson Cancellations
- If / when a pool facility is unavailable to use for any reason, we will provide you with as much notice as possible by text or email.
- In the event of scheduled closures, e.g. school swimming galas, pool repairs etc. we will inform you by email. If we are able to, this will usually be at the time we confirm the dates of the next half-term block of lessons.
- In the event of unscheduled closures e.g. plant breakdown, abnormal water-test results, adverse weather conditions we will inform you by text message as early as possible. We will ask you to reply to acknowledge receipt of the text, it is very important that you reply.
- Please ensure you advise us of any changes to contact details, mobile phone numbers, email addresses, etc.
- Any payments made in respect of unscheduled cancellations will be off-set as credits to your customer account.
Child Protection
- Photography / filming is not allowed within the pool building or indeed on the School premises (this includes camera, tablet or mobile phone).
- The use of mobile phones / tablets or other such technology is strictly prohibited in the changing rooms, in the spectator area & on pool-side.
- Please keep the use of mobile phones to emergency use and leave the pool area before using a mobile phone.
- If you are seen to be using a device you will be asked to stop.
- Children 8 Years of age & over should use gender appropriate changing rooms.
- Children under 8 years of age should be accompanied by a parent / family member / carer and must be taken into the gender appropriate changing room of the parent / family member / carer. There can be no exception to this rule.

- We reserve the right to pass on any information regarding safeguarding to the appropriate services.
- Customers at our Bradford Grammar School (BGS) venue – there is no access to the school site until after 4:30pm on weekdays. This does not apply to Bradford Grammar School pupils, their attendant parents / family members / carers, BGS staff or their immediate family members.
General
- The facilities we use are hired by us. We have a good relationship with the pool providers and we do our utmost to treat their facilities with respect & care at all times.
- We request that our clients do the same. Please pay particular attention to access / instructional signage on site and adhere fully with vehicle parking restrictions.
- We wish to provide a safe, stimulating & enjoyable experience for all our customers. Please help us to do this by being considerate in your behaviour to others.
